What We Are Looking For

Position: Operations Assistant

Company: Signal Operations Inc.

Job Type: Part-time (up to 15/hrs weekly)

Pay: Starting at Local Hourly Living Wage Rate

We are looking for a dedicated, detail-oriented individual to join the Signal Operations Inc. team!

This role encompasses a variety of duties and, at its core, is a support role. This role supports the core four services we offer, which are bookkeeping, people operations, marketing, as well as business strategy and coaching. All of our services are specifically geared towards small and medium-sized businesses. 

Job Duties and Tasks

In this role, the tasks you can expect to complete are, but not limited to:

General Admin Support

  • Assist with scheduling, inbox management, and internal documentation

  • Coordinate team communications and manage recurring check-ins or meetings

  • Update and maintain internal systems (e.g., task boards, shared drives, CRM)

  • Coordinate CEO and COO's administrative duties as needed

  • Help onboard new clients and team members into our system

Bookkeeping Support

  • Help with reconciliations, data entry, and document collection

  • Communicate with clients to request missing information or clarify transactions

  • Support the preparation of financial reports and packages

Marketing Support

  • Assist with content and branded template creation

  • Assist with client communications

People Operations Support

  • Assist with process improvements and knowledge-base documentation

  • Assist with branded template creation

  • Assist with client communications

Business Coaching Support

  • Podcast Production

  • Meeting Scheduling

  • Client Process Documentation

And other duties related to business needs are required from time to time.

Position Requirements & Assets

Requirements to Successfully Fulfill This Role:

  • Access to reliable internet during assigned working hours

Assets We Look For in Team Members

  • Familiarity with software such as Hubdoc, Xero, Google Suite, and Canva

  • Proficient Excel or Google Sheets skills

  • Extremely organized and attentive to detail and accuracy

  • Comfortable communicating in writing and verbally with all stakeholders

  • Discreet and able to maintain confidentiality

  • Able to prioritize, multitask, and meet deadlines

  • Possession of analytical skills

  • Experience in Google Business Suite is an asset, but not required

  • Ability to legally work in Canada

  • Fluency in English

  • 2+ years of administrative, operations, or bookkeeping experience

  • Excellent written and verbal communication skills

  • Familiarity with purpose-driven or nonprofit organizations

  • Interest in small business operations and continuous improvement

Success in this role means having a passion for helping small businesses in Canada be successful by understanding their income and expenses. The right candidate will be able to be discreet and maintain client confidentiality. You’ll be a great fit for this role if you have high attention to detail and are eager to learn. We do a lot of work with money mindset and cash flow, so no need to be shy about those discussions. This role requires flexibility in duties, ranging from basic administrative tasks to bookkeeping to marketing.

What To Expect in the Application Process

Skill-Test and First Round of Interviews

During this phase, you will complete a paid skills test, focusing on skills pertinent to the position that are demonstrated in your resume.

Upon submission of the skills test, if successful, you will then be scheduled for an interview with CEO, Erika Dowell and COO, Emrys De Sousa, answering questions that help us better get to know you and how you could be a good fit for the Signal Operations team.
